Connect with colleagues from around the world at the 2026 AAN Annual Meeting! Affiliated organizations are invited to host functions during AAN-approved dates and times. To secure meeting space, all organizations and individuals must submit the online ICW event form and receive approval before promoting and implementing their event. The submission deadline is Tuesday, March 10, 2026, and administrative fees increase on January 1, 2026.
An ICW meeting is any event for attendees outside the official AAN Annual Meeting program. All meetings offered during the Annual Meeting, whether held at AAN-contracted facilities or in the same metropolitan area as the Annual Meeting, are considered ICWs and must be submitted for AAN approval. The ICW submission form will open in mid-November
ICW meetings include, but are not limited to: 
Alumni reunions
Committee and board meetings
Disclosure meetings as required by the US Securities and Exchange Commission
Industry/exhibitor pre-conference and post-conference meetings
Scientific advisory board meetings
Scientific investigator meetings
Social events
Staff meetings
Office space used to conduct business during the Annual Meeting
In general, the following activities are not permitted:
External education/scientific programs
Content resembling existing AAN programs (e.g., Annual Meeting programs, AAN leadership programs)
Satellite symposia
CME programs
Distribution of promotional material (e.g., fliers, room drops)
Sales presentations and equipment demonstrations
Filming of an ICW event outside of the confines of the AAN-assigned meeting space
Events exceeding 50 attendees (see the 2026 Annual Meeting guidelines for dates and times allowed for exceptions)
AAN-contracted hotels
Administrative fees are required for ICWs hosted in the AAN’s contracted hotels. Due to space limitations, ICWs will not be held at McCormick Place West Building. For a full list of AAN-contracted ICW hotels for 2026, please visit the
